1. Approve Requested Catalog Item

Summary:

Depending on the Application, Entitlement, and/or Role, different levels of Approval can vary. This means, multiple people within the organization may need to Approve the Request before it is granted to the Beneficiary. When this happens, you will need to login with different Approver credentials to claim and Approve the Task. To learn more about Approval Groups and Manual Fulfillment, see the Appendix. Follow the below steps to Approve the Requested Catalog item:

  • Login as the End-User who Requested the Catalog item

  • Determine which stage the Catalog item is in to identify who the Approving Manager or Role is

  • Once the Approver is identified:

    • Login with Approver credentials and complete the Task

    • In the case of multiple Approval layers, complete Tasks according to the respected Approver

    • After appropriate Approval Groups have claimed and Approved the Request, it moves into the Manual Fulfillment process, which requires a Manual Fulfiller to Claim and Approve the Request before it is granted to the Beneficiary

  • Login as a Manager or User with specific Role

  • From Dashboard, click on "Tasks" button

  • Observe open Tasks which require Approval

  • Open Task by clicking the hyperlink on the description

  • Observe available actions for Task by clicking on “Ellipsis” button on bottom of page

  • Select “Reject”

  • Observe the textbox which appears for entering rejection reason

  • Close textbox by clicking on ‘x’

  • Click on “Approve” button

  • Enter approval reason

  • Click on “Approve” button

  • Observe popup message in upper right informing Task action performed successfully

  • Observe the Task is no longer present on “Tasks” page

2. Approve Task as Approver Instructions

  • Login as a respected Approver

  • From Dashboard, click on "Tasks" button

  • Observe open Tasks which require Approval

  • Open Task by clicking the hyperlink on the description

  • Observe available actions for Task by clicking on “Ellipsis” button on bottom of page

  • Select “Escalate”

  • Observe the textbox which appears for entering the escalation reason

  • Close textbox by clicking on ‘x’

  • Click on “Claim” button

  • Enter claim reason

  • Click on “Claim” button

  • Observe popup message in upper right informing Task action performed successfully

  • Now that Task has been claimed, the Task must be completed for Approval

  • Click on “Approve” button

  • Enter approval reason

  • Click on “Approve” button

  • Observe popup message in upper right informing Task action performed successfully

  • Observe the Task is no longer present on “Tasks” page

  • Click on “Claim” button

  • Observe popup message in upper right informing Task action performed successfully

  • Now that Task has been claimed, the Task must be completed for Approval

  • Click on “Complete” button

  • Enter completion reason

  • Click on “Complete” button

  • Observe popup message in upper right informing Task action performed successfully

  • Observe the Task is no longer present on “Tasks” page

*Note: At this point, the beneficiary can login to their user-app and view the fulfilled request located on the “Track Requests” page.

2. Create a New User and New User Application Requests

Summary:

Any User within the organization can create a Service Request to Create a New User. An Access Manager would approve or deny this Request. All Users can also Request to have Applications added to any User, which would then be approved or denied by an Access Manager. To learn more about Service Requests, see the Appendix. Follow the below steps to create a New User and add Applications to new user:

  • Login as the End-User

  • Search for the Catalog item “Create a New User” under the “Service Request” section

  • Fill in required information and submit for Approval

  • Login as an Access Manager and Approve the on-boarding of the New User

    • This workflow is predefined in IDHub, and an Access Manager needs to Approve the on-boarding of the New User creation.

  • Validate the on-boarding of the New User by locating the New User in the “Search Catalog” section

  • Add a few Applications, Entitlements, and Roles for the New User

1. Create New User as End-User

  • Login as the End-User

  • From Dashboard, click on "Request Access" button

  • Click on “Service Requests” tab

  • View list of Service Requests in Catalog

  • Select the Catalog item “Create a New User” by clicking on '+' on the Catalog item

  • Observe the count on “Cart Icon” has increased

  • Click on the “Cart Icon” to view Cart

  • Click on “Proceed” button

  • Click “Continue” button

  • Within “Basic Information” section:

    • Enter a valid “First Name” and “Last Name”

    • Enter the “Display Name” (this should be the same as the “First Name”)

    • Enter the “Login ID” (this should be the same as the “First Name”, in all lower case letters)

  • Within “Contact Information” section:

    • Enter a valid “Email Address” (this should be a valid email address, which you have access to)

    • Enter any combination for “Phone”, “Home Address”, and “Office Address”

  • Within “HR Information” section:

    • Select any Manager from “Manager” drop-down

    • Enter the “Job Title”

    • Select “Employee” from “Type of User” drop-down

    • Enter a start date in “Effective Date” field

  • Click “Done” button

  • Click “Continue” button

  • Enter reason for request

  • Click “Submit” button

  • Observe popup message in upper right showing Request has been submitted successfully

  • Logout by clicking on “Logout” located on bottom left hand corner

*Note: At this point, the New User Request will need to be approved by an Access Manager to successfully onboard the New User.

2. Approve New User as Access Manager

  • Login as Access Manager

  • From Dashboard, click on "Tasks" button

  • Observe open Tasks which require approval

  • Open the Task for Creating New User by clicking the hyperlink on the description

  • Observe available actions for Task by clicking on “Ellipsis” button on bottom of page

  • Select “Escalate”

  • Observe the textbox which appears for entering escalation reason

  • Close textbox by clicking on ‘x’

  • Click on “Claim” button

  • Enter claim reason

  • Click on “Claim” button

  • Observe popup message in upper right informing Task action performed successfully

  • Click on “Approve” button

*Note: At this point, we need to validate the on-boarding of the new user

  • From Dashboard, click on "Request Access" button

  • Click on “Users” tab

  • Type newly on-boarded User in the search User box and click “Search” button

  • Open the newly on-boarded User by clicking the hyperlink on the newly on-boarded Users name

  • Observe newly on-boarded Users summary

  • Close User summary by clicking on ‘x’

  • Logout by clicking on “Logout” located on bottom left hand corner

3. Add Application to New User as End-User Instructions

  • Login as the End-User

  • From Dashboard, click on "Request Access" button

  • Click on “Applications” tab

  • View list of Applications in Catalog

  • Select a Catalog item by clicking on '+' on the Catalog item

  • Observe the count in “Cart Icon” has increased

  • Click on “Cart Icon” to view Cart

  • Click on “Proceed” button

  • Observe User Request page

  • Remove End-User from Application Request by clicking on the ‘x’ next to End-Users name

  • Click on ‘+’ to add newly on-boarded User to application

  • Type newly on-boarded Users name, select newly on-boarded User, and click “Done” button

  • Click “Continue” button

  • Observe panel with newly on-boarded Users information, which has been pre-populated

  • Click “Done” button

  • Click “Continue” button

  • Enter justification for request

  • Click “Submit” button

  • Observe popup message in upper right informing Request submitted successfully

*Note: The requested application for the newly on-boarded user is now in the “Waiting for Manager Approval” stage. In order to approve the application request for the new user, you will need to determine who the user’s manager is.

  • Navigate to the “Requests” section located in left hand panel

  • Open the Application Request which is in “Waiting for Manager Approval” by clicking the hyperlink on the description

  • Observe current status details to determine who the Request has been assigned to

  • Logout by clicking on “Logout” located on bottom left hand corner

4. Approve Application Request to New User as End-User’s Manager Instructions

  • Login as End-User’s Manager

  • From Dashboard, click on "Tasks" button

  • Observe open Tasks which require Approval

  • Open Task for Application Request for newly on-boarded User by clicking the hyperlink on the description

  • Observe available actions for Task by clicking on “Ellipsis” button on bottom of page

  • Select “Reject”

  • Observe the textbox which appears for entering rejection reason

  • Close textbox by clicking on ‘x’

  • Click on “Approve” button

  • Enter approval reason

  • Click on “Approve” button

  • Observe popup message in upper right informing Task action performed successfully

  • Observe the Task is no longer present on “Tasks” page

*Note: At this point, depending on the application requested, the request moves into either an Approval Group stage or the Manual Fulfillment stage. Depending on the stage, you will need to approve the request as an Approval Group User and/or a Manual Fulfiller. See steps below on how to track user requests and determine what stage the request is in.

  • Login as an End-User

  • From Dashboard, click on "Track Request" button

  • Open Application Request for newly on-boarded User by clicking the hyperlink on the description

  • Observe current status details to determine who the Request has been assigned to

  • Logout by clicking on “Logout” located on bottom left hand corner

5. Approve Application Request for New User as Approval Group User and/or Fulfiller Instructions

  • Login as respected Approval Group User or Manual Fulfiller

  • From Dashboard, click on "Tasks" button

  • Observe open Tasks which require Approval

  • Open Application Request for newly on-boarded User by clicking the hyperlink on the description

  • Click on “Claim” button

  • Enter claim reason

  • Click on “Claim” button

  • Click on “Approve” button

  • Enter approval reason

  • Click on “Approve” button

  • Observe popup message in upper right informing Task action performed successfully

  • Observe the Task is no longer present on “Tasks” page

  • Logout by clicking on “Logout” located on bottom left hand corner

*Note: Some applications require multiple levels of approval before finally moving into the Manual Fulfillment stage. Therefore, you may need to follow these instructions and approve the application request as multiple Approval Group Users and then, as a Manual Fulfiller. You will also need to repeat the previous step “Determine Request Stage ” after approving a specific Approval Group to determine the next stage.

6. View Approved Application Request for User Instructions

  • Login as an End-User

  • From Dashboard, click on "Request Access" button

  • Click on “Users” tab

  • Type New Users first name into search bar and click on “Search” button

  • Open New User by clicking the hyperlink on the newly on-boarded users name

  • Observe right panel informing user summary and access to information

  • Click on “Access To” tab

  • Observe newly on-boarded Application

  • Click on “View Profile” button

  • Within “User’s Access” section, observe newly on-boarded Application
