In this section, we will discuss the LifeCycle of an IDHub User. Below are the different functions available within the complete User LifeCycle: Create a New User, Modify a User, Disable/Enable a User, and Remove a User.


Create New User:

Any user within IDHub can create a Service Request to Create a New User. An Access Manager would be the only User with authority to approve or deny this request. To request Create New User, follow the below steps:

To request a Create New User Service Request for any User, follow the below steps:
  • From Dashboard, click on "Request Access" button

  • Click on “Service Requests” tab

  • View list of Service Requests in Catalog

  • Select the Catalog item “Create a New User” by clicking on '+' on the Catalog item

  • Observe the count on “Cart Icon” has increased

  • Click on the “Cart Icon” to view Cart

  • Click on “Proceed” button

  • Click “Continue” button

  • Complete all fields within the “Create New User” right-side panel

  • Click “Done” button

  • Click “Continue” button

  • Enter reason for request

  • Click “Submit” button

  • Observe popup message in upper right showing Request has been submitted successfully

*Note: At this point, the Create New User Request will need to be approved by an Access Manager to successfully onboard the New User.


Modify User:

Any User within IDHub can request to Modify themselves or another User. Only Access Managers have the authority to approve a Modification Request. Modifications to Users are important to ensure Users always have correct and updated information within their profile.

To request a Modify User Service Request for any User, follow the below steps:
  • From Dashboard, click on "Request Access" button

  • Click on “Service Requests” tab

  • View list of Service Requests in Catalog

  • Select the Catalog item “Modify User” by clicking on '+' on the Catalog item

  • Observe the count on “Cart Icon” has increased

  • Click on the “Cart Icon” to view Cart

  • Click on “Proceed” button

  • Observe Modify User Request page

*Note: If the logged in User is requesting to Modify another User, the logged in User will need to remove themself from the Modification Request, and add the User who needs to be Modified. See below steps for Modifying the logged in User or another User:

To Modify a User who is not the logged in User:

  • Remove logged in User from Request by clicking on the ‘x’ next to logged in User’s name

  • Click on ‘+’ to add the User which will be modified

  • Type in User name to be Modified in the textbox and click “Done” button

  • Click “Continue” button

  • Modify any fields within the “Modify User” right-side panel

  • Click “Done” button

  • Click “Continue” button

  • Enter reason for request

  • Click “Submit” button

  • Observe popup message in upper right showing Request has been submitted successfully

*Note: At this point, the Modify User Request will need to be approved by an Access Manager to successfully complete the Request.

To Modify the logged in User:

  • Click “Continue” button

  • Modify any fields within the “Modify User” right-side panel

  • Click “Done” button

  • Click “Continue” button

  • Enter reason for request

  • Click “Submit” button

  • Observe popup message in upper right showing Request has been submitted successfully

*Note: At this point, the Modify User Request will need to be approved by an Access Manager to successfully complete the Request.


Disable/Enable User:

Users can be Disabled/Enabled at any time while active in IDHub. The great part about the Disabled/Enabled function, if an employee takes a leave of absence, he/she can be Disabled for any length of time. When the employee returns to work, he/she can easily be Enabled.

To request a Disable/Enable Service Request for any User, follow the below steps:
  • From Dashboard, click on "Request Access" button

  • Click on “Service Requests” tab

  • View list of Service Requests in Catalog

  • Select the Catalog item “Disable/Enable User” by clicking on '+' on the Catalog item

  • Observe the count on “Cart Icon” has increased

  • Click on the “Cart Icon” to view Cart

  • Click on “Proceed” button

  • Observe Disable/Enable User Request page

*Note: If the logged in User is requesting to Disable/Enable another User, the logged in User will need to remove themself from the Disable/Enable request, and add the User who needs to be Disabled/Enabled. See below steps for Disabling/Enabling the logged in User or another User:

 

To Disable/Enable a User who is not the logged in User:

  • Remove logged in User from Request by clicking on the ‘x’ next to logged in User’s name

  • Click on ‘+’ to add the User which will be disabled/enabled

  • Type in User name to be Disabled/Enabled in the textbox and click “Done” button

  • Click “Continue” button

  • Select “New Status” from drop-down box within the “Disable/Enable” right-side panel

  • Click “Done” button

  • Click “Continue” button

  • Enter reason for request

  • Click “Submit” button

  • Observe popup message in upper right showing Request has been submitted successfully

*Notes: At this point, the Disable/Enable User Request will need to be approved by an Access Manager to successfully complete the Request.

 

To Disable/Enable the logged in User:

  • Click “Continue” button

  • Select “New Status” from drop-down box within the “Disable/Enable” right-side panel

  • Click “Done” button

  • Click “Continue” button

  • Enter reason for request

  • Click “Submit” button

  • Observe popup message in upper right showing Request has been submitted successfully

*Note: At this point, the Disable/Enable User Request will need to be approved by an Access Manager to successfully complete the Request.

*Note: Once an Access Manager approves the Disable/Enable Request, validation of the Disabled/Enabled User is done by searching the Catalog for the User who has been Disabled/Enabled. If the User has been Disabled, their name will appear within the Catalog under the “Users” tab, with a status of “Disabled”. The User and all User accesses can be viewed in a Disabled Status, and all accesses will be suspended until the User becomes Enabled again. If the User has been Enabled, their name will appear within the Catalog under the “Users” tab, with a status of “Active”. All User accesses are available for an “Active” User.


Remove User:

Removing a User from IDHub is something anyone within the organization can request. Only Access Managers have the authority to approve a Remove a User request. Once a user has been Removed from IDHub, any connected Applications and corresponding Entitlements which are attached to the User’s access, will automatically be removed. Disconnected Applications and corresponding Entitlements would need to be manually removed from the User’s access, by a Manual Fulfiller.

To request a Remove User Service Request for any User, follow the below steps:
  • From Dashboard, click on "Request Access" button

  • Click on “Service Requests” tab

  • View list of Service Requests in Catalog

  • Select the Catalog item “Remove User” by clicking on '+' on the Catalog item

  • Observe the count on “Cart Icon” has increased

  • Click on the “Cart Icon” to view Cart

  • Click on “Proceed” button

  • Observe Remove User Request page

*Note: If the logged in User is requesting to Remove another User, the logged in User will need to Remove themself from the Removal Request, and add the User who should be Removed. See below steps for Removing the logged in User or another User:

To Remove a User who is not the logged in User:

  • Remove logged in User from Request by clicking on the ‘x’ next to logged in User’s name

  • Click on ‘+’ to add the User which will be removed

  • Type in User name to be Removed in the textbox and click “Done” button

  • Click “Continue” button

  • Observe information in right-hand panel to ensure the User you are requesting to Remove is correct

  • Click “Done” button

  • Click “Continue” button

  • Enter reason for removal request

  • Click “Submit” button

  • Observe popup message in upper right showing Request has been submitted successfully

*Note: At this point, the Remove User Request will need to be approved by an Access Manager to successfully complete the Request.

To Remove the logged in User:

  • Click “Continue” button

  • Click “Done” button

  • Click “Continue” button

  • Enter reason for request

  • Click “Submit” button

  • Observe popup message in upper right showing Request has been submitted successfully

*Note: At this point, the Remove User Request will need to be approved by an Access Manager to successfully complete the Request.


Reset Password:

Resetting a Password is something any User can request for themselves or another User. Only Access Managers have the authority to approve a Reset Password request. Once a User’s Reset Password request has been approved, they will receive an email to the email address on file within their profile. The User will need to follow the Reset Password steps within the email to complete the request.

To request a Reset Password Service Request for any User, follow the below steps:
  • From Dashboard, click on "Request Access" button

  • Click on “Service Requests” tab

  • View list of Service Requests in Catalog

  • Select the Catalog item “Reset Password” by clicking on '+' on the Catalog item

  • Observe the count on “Cart Icon” has increased

  • Click on the “Cart Icon” to view Cart

  • Click on “Proceed” button

  • Observe Reset Password Request page

*Note: If the logged in User is requesting to Reset Password for another User, the logged in User will need to Remove themself from the Reset Password Request, and add the User who’s Password should be Reset. See below steps for Resetting Password for the logged in User or another User:

To Reset Password for a User who is not the logged in User:

  • Remove logged in User from Request by clicking on the ‘x’ next to logged in User’s name

  • Click on ‘+’ to add the User who needs to Reset Password

  • Type in the name of the User who needs to Reset Password in the textbox and click “Done” button

  • Click “Continue” button

  • Observe info in right-hand panel to ensure the User you requested a Reset Password for is correct

  • Click “Done” button

  • Click “Continue” button

  • Enter reason for removal request

  • Click “Submit” button

  • Observe popup message in upper right showing Request has been submitted successfully

*Note: At this point, the Reset Password Request will need to be approved by an Access Manager to successfully complete the Request. Once an Access Manager has approved the Reset Password Request, the User who needs to Reset Password will receive an email with a temporary password link. Follow the steps within the email to Reset Password to complete the Request.

To Reset Password for the logged in User:

  • Click “Continue” button

  • Click “Done” button

  • Click “Continue” button

  • Enter reason for request

  • Click “Submit” button

  • Observe popup message in upper right showing Request has been submitted successfully

*Note: At this point, the Reset Password Request will need to be approved by an Access Manager to successfully complete the Request. Once an Access Manager has approved the Reset Password Request, the User who needs to Reset Password will receive an email with a temporary password link. Follow the steps within the email to Reset Password to complete the Request.
